We implemented a fully automated lead tracking and follow-up system using Calendly, Notion, and Zapier to support a high-converting, low-lift client journey.
1. Pre-Call Lead Qualification System
We built a strategic application form inside Calendly with custom routing logic based on applicant responses. This:
- Filtered out unqualified leads (e.g. not ready to invest)
- Redirected misaligned leads to alternative resources
- Saved the team hours of screening time each week
2. Lead Tracking Dashboard in Notion
Every lead submission auto-populates into a central Notion CRM, allowing the team to:
- View lead stage, call status, and notes at a glance
- Track lead source + custom fields (goals, budget, symptoms)
